Privacy policy
This policy explains what Nexor collects when you use the website and the application, why, and what you can ask us to do about it.
This document is a starting point and has not been reviewed by counsel. Have a lawyer check it before you take payment.
Who this covers
Nexor Dental Inc. (“Nexor”, “we”) operates this website and the NexorCAD application. This policy covers both.
It applies to the people who use Nexor: clinicians, technicians and the staff of a clinic or laboratory that holds a subscription.
What we collect
Account information: your name, email address, the workspace you belong to and your role in it. You give us this when you are invited or when you register.
Workspace content: the scans you upload, the case records you create, the designs the pipeline produces and the settings you choose. You put this in; we store it so the application can work.
Technical information: the pages you open, the actions you take in the application, and the ordinary server records (IP address, browser, timestamps) that any web service keeps in order to run and to stay secure.
Billing information: the plan you are on and what you have used. Card details are handled by our payment processor and never reach our servers.
Messages: when you write to us through the contact form or by email, your name, your clinic, your email address and what you wrote.
Patient information, and your role
A case may carry a patient's name and their intraoral scans. That information belongs to the clinic, not to Nexor. The clinic remains responsible for it, decides who may see it, and is the point of contact for the patient.
We process it on the clinic's behalf, to provide the service the clinic has asked for — nothing else. We do not sell it, we do not use it to train anything, and we do not use it for advertising.
If you do not need a patient's real name in Nexor to do your work, use an identifier instead. The application does not require one.
Why we use it
To run the service: to design, store and export cases, and to show you what you have done.
To bill correctly: to count exports against the plan the workspace is on.
To support you: to answer a question you have asked — in the application, through the contact form or by email — which sometimes means looking at the case you are asking about. Support access to a workspace is recorded.
To keep it secure: to detect and stop abuse, and to investigate a problem when one occurs.
Where it is hosted, and who else handles it
The application, its database and every file you upload are hosted in Québec, Canada, on Nexor Dental's own servers.
Three kinds of service provider handle part of it for us: an encrypted off-site backup store, in Canada; the transactional email provider that delivers invitations, password resets and notifications; and Stripe, which takes card payments. Each is bound to use what it receives only to provide that service to us.
Stripe and the email provider receive only what their service needs — never your scans or your designs — and may process it outside Canada.
We do not share your workspace content with anyone else, and we do not disclose it to a third party except where the law requires it — in which case we will tell you unless we are forbidden to.
How long we keep it
Workspace content stays until you delete it. Cases you delete are purged within 30 days.
When a subscription ends, you can export what you need; after that, we remove the workspace content within a reasonable period.
We keep the minimum billing and security records that we are required to keep, for as long as we are required to keep them.
How it is protected
Passwords are stored only as a bcrypt hash. Sessions expire. Access to a workspace is by invitation and by role. Administrative actions are recorded in an audit log.
A fuller description is on the security page.
Your rights
You may ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. You may withdraw a consent you have given.
If you are in Québec or elsewhere in Canada, you have these rights under Québec's Law 25 and under PIPEDA, and you may complain to the Commission d'accès à l'information du Québec or to the Office of the Privacy Commissioner of Canada.
Our person in charge of the protection of personal information handles these requests and any question about this policy: write to privacy@nexordental.com. We answer within the time the law allows.
Cookies
The application sets a cookie to keep you signed in. It is necessary for the service to work and it is not used to track you.
This marketing site sets no advertising or analytics cookies. Your theme choice is kept in your own browser and never sent to us.
Changes
If we change this policy in a way that matters, we will say so in the application before the change takes effect, and the date at the top of this page will change.
